Administrative Assistant

SUMMARY:

Provides highly responsible administrative and clerical support to the Chief Executive Officer and senior executives.  Acts as receptionist for the Administrative Offices.


DUTIES AND RESPONSIBILITIES:

  • Receives and screens telephone calls and visitors to the Administrative Building.
  • Receives deliveries, questions and complaints and relays to the appropriate responsible person.
  • Responds to requests for information by answering questions where there are established policies or regulations, or precedent actions taken by the senior executives.
  • Makes appointments and maintains Chief Executive Officer’s calendar.
  • Assists all senior executives with administrative functions.
  • Makes meeting registrations and travel arrangements for staff members, senior executives and board members, including supplies to be brought to the conferences, seminars and workshops.
  • Opens, screens and distributes mail; marks important parts of instructions, orders and regulations, and organizes mail according to priorities.
  • Composes correspondence from verbal instructions and independently drafts replies to inquiries.
  • Prepares for board meetings, and other managerial meetings, with creation of agendas, packet development and recording/distribution of minutes.
  • Communicates with the taxi drivers and processes the taxi permit applications to ensure a thorough vetting process; provides the permit hangers for current approved providers.
  • Assists with the parking contracts program, including cash control, parking card control and issuing of receipts.
  • Serves as a contact for the central repository for the lost and found inventory of items; receives new lost items, logs items, organizes the room and searches for items and communicates status of same to all concerned.
  • Accountable for miscellaneous administrative functions, such as office equipment tasks, typing minutes, booklet assembly, data gathering for the annual audit, binder maintenance and other support functions.
  • Ensures compliance with Federal, State, and County policies and procedures, legal deadlines and other requirements for correspondence, legal advertising, certifications and other documents.

 

MINIMUM JOB REQUIREMENTS:

High school diploma or GED; at least 1 year of experience that is directly related to the duties and responsibilities specified; or, an equivalent combination of related education and experience.     

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Able to provide excellent customer service.
  • Extensive knowledge of administrative assistant methods, techniques and procedures.
  • Knowledge of general office procedures, practices and equipment. 
  • Able to problem solve independently or seek assistance.
  • Good oral and written communications skills, to include proficiency in typing.
  • Strong organizational skills with the ability to multi-task.
  • Proficiency in MS Office Suite programs and database programs.

 

WORKING CONDITIONS AND PHYSICAL EFFORT:

  • Good visual acuity to work inside under artificial lighting and in bright sunlight.
  • Sit for most of the day.

 

Full-time position.  Starting pay is $13.00/hour.  Benefits include medical, dental, vision, retirement programs, vacation and sick time.
